In the training "AI in Everyday Office Work: Relief in the Secretariat" you will learn how to use generative AI such as ChatGPT and Copilots specifically in the secretariat. You will get an overview of what AI can reliably do and where typical errors like hallucinations or inappropriate tone arise.
You will then build prompt modules for goal, context, target audience, style, and output format. You will practice forcing the AI to ask follow-up questions instead of simply accepting assumptions.
In the practical part, you will formulate emails and letters, write sensitive responses in a de-escalating manner, and bring texts into a consistent corporate language. For meetings, you will create agendas, invitations, and decision-making questions, and draft minutes with resolutions, to-dos, and follow-up emails.
Another focus is knowledge work. You will have documents summarized, create one-pagers and decision templates, and critically review results for uncertainties.
Finally, you will transfer the content into your own workflows. You will identify recurring processes, define quality and approval steps, and establish rules for data protection and confidentiality.
The seminar is aimed at executive assistants, team assistants, office management, as well as secretariats in administration and specialist departments. You should have routine experience with email and office documents, as well as a basic understanding of confidential information and approvals.
